Privacy notice
Last updated 27 October 2026
In short
- We use your photos and your details to make, print and deliver your book, and keep the record of your order.
- They are kept with Cloudflare, in the European Union, outside Egypt.
- Your book’s PDF, with your photos in it, is sent on WhatsApp to the bookstore that prints it. The courier is given only what delivery needs.
- Our team may phone you or message you on WhatsApp about your order, and about nothing else.
- A book that is never ordered is deleted after 90 days without a change. The photos and files of a delivered book are kept for at least 45 days, and may be deleted after that.
- You can ask us what we keep about you, ask us to correct it, or ask us to delete it (see “Your choices”).
Who controls the data
Tru Photo Books, Cairo, Egypt. Privacy contact: info@trubooth.com.
What we collect
We process the photos and book content you upload, or the finished PDF you send instead, your name and contact details, delivery or pickup details, proof approval, order and payment status, the messages you exchange with us, and the technical records needed to secure and operate the service. If your book is a gift, we also keep the name of the person it is for and the message you write to them, for its card. We deliver a gift to you, never to them, and ask for nothing else about them: no address and no phone number. When you order, we also keep a record of your proof approval, with the name you signed, when, and the internet (IP) address the order came from, and of which version of our terms you agreed to, with the time. The terms in force now are version 2026-10-29. We also keep a record of your consent to how we use your photos and details, and to our calling you about your order (see “Your consent”).
Why we use it
We use this information to create, print, deliver, support, and secure the book you ask us to make; to reach you about your order; to keep required transaction records; and, only when needed, to work with the providers named in this notice. We do not sell customer photos or contact details.
Phone calls and WhatsApp
When you order, you agree, in a box of its own that is never ticked for you, that our team may phone you, or message you on WhatsApp, at the mobile number you give, about that order only: to confirm your details, to ask about your book’s design, and to arrange its delivery or collection. We cannot make and deliver a book without reaching you, so an order is not placed without it.
We write to you from your order’s page in our shop, which opens WhatsApp with the message ready on the phone or computer of the team member who sends it: for example when your order is being checked, when it is being printed, and when it is on its way or ready to collect. We keep a note of which message was sent and when, and the words of any message we write ourselves.
We use your number only for your order. We do not use it to send you offers or advertising.
If you would rather we did not phone you, tell us in a WhatsApp message, and we will only write to you. If you would rather not use WhatsApp, tell us how else to reach you. We need one way to reach you until your book is delivered or collected: if you want no contact at all, tell us, and we will cancel your order if printing has not started (see our Terms of sale).
WhatsApp is run by Meta. When you or we use it, it carries your phone number and what the messages say, under Meta’s own terms, and may store them outside Egypt.
Your consent
Before the first photo of your book is stored, we ask you, in a box of its own that is never ticked for you, to agree that we may store and use your photos and details to make, print and deliver your book, and, if your photos show children, to confirm that you are their parent or legal guardian, or that you have their parent’s or guardian’s permission. Until you tick it, no photo of yours is kept, and neither is a finished PDF.
When you order, we ask again, in a box of its own beside the Terms of sale. Above that box, the checkout lists what happens to your details and photos: where they are kept, that your book’s PDF is sent on WhatsApp to the bookstore that prints it, what the courier is given, and how long your photos and files are kept. By ticking it you agree to that, and that we may use your name, phone number, email address and delivery address, and the photos in the book, to print and deliver it. You confirm again what you confirmed for photos of children.
In a third box of its own, you agree that our team may phone you or message you on WhatsApp about the order (see “Phone calls and WhatsApp”).
Each time, we record which version of these words you agreed to and when, and nothing else with it. The words in force now are version 2026-10-28.
You can withdraw your consent at any time by writing to info@trubooth.com. We then erase a book you never ordered, or one whose every order was cancelled, as “Your choices” describes. If your book is ordered but not yet sent to print, we cancel the order first and then erase the book. A book already sent to print is not erased this way: its files are deleted as “How long files stay” says.
Where your data is kept
Your photos, your details and your book are stored with Cloudflare, in the European Union, outside Egypt. Your photos go from your browser straight into that storage. Each night a copy of our records, without the photos, is kept in storage with the same provider in the same place, and the provider can take our records back to how they stood at any moment of the last 30 days. Beyond it, only the people and services named in this notice receive any of it.
Some copies are kept where we work: your book’s PDF on the phone or computer we send it from and in our WhatsApp chat with the bookstore, and our messages with you in WhatsApp (see “Making and printing your book” and “Phone calls and WhatsApp”).
Making and printing your book
To make the print files of your book and its proof, and to check a finished PDF you send, the photos and pages that work needs are sent to a computer we run ourselves, for the minutes it takes, and are not kept there once it is done; if the work is cut off part way, what it had made is deleted by a later run. Your name, phone number, email address and delivery address are never sent there.
A bookstore prints your book. When your book is ready to print, we download it as one PDF, the book exactly as it will be printed: its front cover, every page with your photos and the words you chose, and its back cover with the book’s number. We send that PDF, and a thin second PDF for the spine, to the bookstore on WhatsApp, and then a message with the print details: the paper, the size and the binding. The files’ names carry your order’s reference and the book’s number, so two books cannot be taken for each other.
That is all the bookstore receives. It is not sent your phone number, email address, delivery address or payment details, or the original photo files you uploaded.
Those files stay in our WhatsApp chat with the bookstore, on our phone and on the bookstore’s, and in any backup of either phone. WhatsApp is run by Meta, which carries them under its own terms.
Delivery and collection
If your book is delivered, we choose the courier ourselves. The courier we book for your parcel is given your name, phone number, delivery address and city, any delivery notes, the amount to collect, your order’s reference, and whether the book is gift wrapped, so they can bring it to you. Unless your notes say otherwise, we ask the courier to call you when they arrive.
If your book is a gift, the name and the message for its card go inside the parcel, with the book, and not to the courier.
If we have a tracking number for your parcel, your order page shows it, with the courier’s name, once the book is on its way.
A book you collect from one of our booths goes to no courier. We tell you on WhatsApp when it is ready to collect; at the booth, give your name or your order’s reference. Our staff there see your name, the reference and the amount to pay, so that they hand you the right book and record what you pay.
Photos of children
Egyptian law treats personal data about children as sensitive, and asks for the consent of a parent or legal guardian. So before your first photo, and again when you order, we ask you to confirm that you are the parent or legal guardian of any child your photos show, or that you have their parent’s or guardian’s permission. We use photos of children, like every photo, only to make, print and deliver your book.
Who else sees it
Inside our shop, the owner and the staff who handle orders and run the booths see your name, phone number and address. The people who design our books and covers do not.
We talk to customers on WhatsApp, and you can message us on WhatsApp or Instagram. When you or we use them, those services, both run by Meta, carry your phone number or account name and what the messages say, under Meta’s own terms, and may store them outside Egypt. Please do not send us photos for your book that way: WhatsApp compresses them, and they would print blurry.
The bookstore that prints your book receives what “Making and printing your book” says, and the courier what “Delivery and collection” says.
If we connect our order list to a Google Sheet, the order details we keep there are sent to Google. They can include your name, phone number, email address, address, city, delivery notes, the book’s title, the name of the person a gift is for, and your order details, with links to your book’s files (a link on its own does not open them). Google may store this outside Egypt, so the connection stays switched off unless we hold the permit from Egypt’s Personal Data Protection Center that sending personal data outside Egypt needs.
If we switch on email notices about orders, they go to the shop’s own Gmail inbox, which Google stores outside Egypt. A notice carries only your order’s reference and the book’s number, unless we also switch on the details, which add your name, phone number, city or booth, what you ordered, the name and message for a gift card, your notes and the total. A notice never carries your street address, your email address or your photos.
The company that hosts our site, named under “Where your data is kept”, holds the data needed to run the service. It also carries our site’s traffic and shields it from attacks, passing what you send and receive between your browser and our site, your photos included; our site marks your photos private, which tells it not to keep copies of them on the way.
Reviews and referral codes
Once your book is delivered, you can write a review. It is shown on our site straight away, unless we hide it, with the name you type, your rating, your words, the occasion if you give one, the date and the words “Verified Buyer”. Public reviews never show your address, phone number, email address or the photos in your book.
If your order earns a referral code to share, the code begins with up to six letters of the name on your order, so whoever you give it to can see them.
Private links and sharing
Draft and order links, and links to view your book, are private capability links. Anyone you intentionally share a valid link with can open that draft, order, or book until the link expires, so treat it like a password.
Our site keeps no record of the pages you visit. Its record of errors, which Cloudflare keeps for a few days, notes the address of a page without the part after the “?”, which is where a private link carries its key, but the words of an error can hold the whole address of a visit that failed, key included.
How long files stay
A book that is never ordered is deleted, with its photos, after 90 days without a change.
If every order for a book is cancelled, the original photos, the print copies and the print files of the book are deleted 90 days after the cancellation, or after the book was last changed if that came later.
For a book that is delivered or collected, the original photos, the print copies and the print files are kept for at least 45 days after that, long enough to reprint it within the 30 days our terms promise, and may be deleted after that. We delete them by hand, when we clear our storage, so they can stay longer; ask us after those 45 days and we delete them then.
Sometimes a photo reaches our storage but never joins your book: its upload stopped part way, or we could not take it. Such a photo is used for nothing, and stays for as long as we keep the book. Once the book is deleted, our nightly clean-up deletes the photo when it is more than 24 hours old. It does the same with a photo that was still on its way when the book was deleted.
Smaller preview copies of the photos in an order stay with the order’s record for as long as we keep that record. The record of your order (your name and contact and delivery details, the layout, the proof approval, the payment and its history) is kept as our record of the sale, for service, accounting, dispute handling, and legal obligations; we have not yet set a date by which it is deleted. You can ask us to delete a book sooner (see “Your choices” below).
Photos and files deleted, by these rules or at your request, are deleted from our storage at once. Your details and your book’s records stay in the nightly copies of our records until the last copy that holds them is replaced: we keep the last 30 of them, and the provider’s own history of our records goes back 30 days.
Location in your photos
Photos taken on phones can carry the place and time they were taken inside the file. We do not read or use that information, and the copies we make for previews and the print files leave it out. But the original files you upload are kept exactly as you sent them until they are deleted (see “How long files stay” above). They stay with us: the printer is sent the print files, not your originals. If you would rather not share where a photo was taken, turn off location for your camera, or remove it from the photo, before you upload.
Your choices
You may ask to see what we keep about you, to correct it, or to delete it, subject to records we must retain, and you may withdraw your consent (see “Your consent”).
To see it, ask us: we send you what your order records about you and, while we still have them, the photos you sent us. To correct your phone number or delivery address, tell us before your book is sent, and we change it on your order.
When you ask, we erase a book you never ordered, or one whose every order was cancelled: its photos (the originals, the print copies and the previews), the finished PDF if you sent one, the print files made for it, and the book itself. A cancelled order stays as our record of a sale that did not happen, with your name, phone number, email address, delivery address and notes, gift note, and the name and internet address you approved the proof with cleared from it. We also clear the words of any message we wrote to you ourselves: the order’s history keeps which message was sent and when, but not its words. A book with an order that was not cancelled is not erased this way; the files of a delivered book are deleted as “How long files stay” says.
Write to info@trubooth.com and include only your order reference—not photos or payment details—in the first message.
How to reach us
Message us on Instagram at @trubooth, or email info@trubooth.com, or phone us on +20 102 138 4170. About an order, give its reference, which is on your order page.
Changes to this notice
When we change this notice, or the words you agree to, in a way that matters, we change the date at the top and the version of the words, and we ask for your agreement again: before the next photo you add to a book, and at your next checkout. An order keeps the version it was placed under.
Egyptian data protection
This notice does not limit rights under applicable law. Egypt’s Personal Data Protection Center explains the framework under Law No. 151 of 2020 and its executive regulations.
